Covera phones people on a customer's roster to fill an open shift. That means
it holds phone numbers and records of calls to real people, most of whom are not our
customers and never chose us. This page says exactly what is kept, where it sits, and who
it is shared with.
Two different relationships
If you contacted us through this website — you gave us your details
directly, and we decide what happens to them. That is the first section below.
If you were called or texted by Covera — your employer or the
organisation holding your roster put your details in, and they decide what happens to
them. We process that data on their instructions, not our own. That is the second
section, and the practical consequence is that requests about your data go to them
first.
If you used the form on this site
| What | Why |
| Name, company | Optional. To address a reply properly. |
| Email address | Required. It is the only way we can answer you. |
| Your message | To understand what you need before replying. |
| IP address | Recorded with the enquiry to make automated abuse of the form
traceable. Not used to profile you or to work out where you are. |
It becomes an email to us and nothing else. It is not added to a mailing list, not sold,
not shared with anyone, and not used to advertise to you. Ask us to delete it and we will.
If Covera called or texted you
Your details were entered by the organisation that holds your roster. We hold:
| What | Why |
| Name and phone number | To reach you about a shift. |
| Consent record | When consent was given and how — onboarding form, verbal,
SMS opt-in. Covera will not dial a number with no consent on record. |
| Quiet hours and timezone | Hours you have said you will not take calls.
Automated callouts never cross them. |
| Call and message records | Whether a call was answered, whether you pressed
yes or no, when you responded, and the carrier's reference for the call. |
| Opt-out state | If you reply STOP, it is recorded and blocks calls as well as
texts, immediately. |
| Response history | How often calls are answered and confirmations kept. Your
employer sees this. |
| Audit log | Every dispatch, call, refusal and override, with its reason. |
No recordings. Covera captures a keypress — 1 for yes, 2 for no — and the text of an SMS
reply. It does not record audio or transcribe what anyone says.
Stopping the calls
Reply STOP, UNSUBSCRIBE, CANCEL,
END or QUIT to any Covera text. It takes effect
immediately, blocks voice calls as well as messages, and cannot be overridden by an
operator. Reply START to allow them again.
Quiet hours are different: a coordinator can cross them to fill an uncovered shift, and
when they do, the override is recorded against their name in the audit log.
Where it is held, and who else sees it
The application, database and keys all run in Microsoft Azure's
Canada Central region. Two other companies necessarily handle some of it:
- Twilio places the calls and sends the texts. Phone numbers and message
content pass through Twilio, which is a United States company and may process data outside
Canada.
- Microsoft hosts everything and delivers our email.
Nobody else. No advertising networks, no analytics, no data brokers. We do not sell
personal information and have no arrangement under which anyone pays us for access to it.
This website
No analytics, no advertising, no tracking pixels, and no cookies. The site stores one
thing in your browser — whether you chose the light or dark theme — and that never leaves
your device.
Fonts are loaded from Google Fonts, which means Google receives your IP address when a page
loads. That is the only third-party request the site makes, and we intend to remove it by
serving the fonts ourselves.
How long it is kept
Enquiries from this site are kept while we are in touch and deleted on request.
Roster and call records are kept for as long as the customer's account is open, because the
consent record and audit log are what answer "were we allowed to call this person" long
after the call. Database backups allow restoration to any point in the previous
seven days. When an account closes, its data is deleted on request.
We have not yet set a fixed retention period for call records. When we do, it
will be stated here rather than changed quietly.
Your rights
Under Canadian privacy law (PIPEDA, and provincial equivalents) you can ask what is held
about you, have it corrected, and in most cases have it deleted.
- If Covera called you, ask your employer or whoever holds the roster.
They control that data; we act on their instruction. If you cannot reach them, write to us
and we will help you find the right contact.
- If you contacted us through this site, write to us directly.
Security
Each customer's data is separated at the database level: every query carries the
organisation it belongs to, and there is no path through the system that omits it.
Credentials are held in a managed key vault rather than in configuration or code. Access to
production is limited to the people who operate it.
We are a small and new company. If you find a security problem, write to us and we will
take it seriously and answer you.
Changes
If this policy changes in a way that affects what is collected or who it is shared with,
the date at the top changes and customers are told directly.
